| The Mountain View Academy School Board encourages public input. Persons wishing to address the Board on school related issues – either in person, virtually, or via email – are invited to do so either when the item is presented on the agenda, or under the “Public Comments” section. In the interest of time and order, presentations from the public are limited to three (3) minutes per person, and the total time for individual agenda items shall not exceed (21) minutes. An individual speaker’s allotted time may not be increased by a donation of time from members of the public in attendance. If you wish to speak under Public Comments, please complete a Public Comment Form and turn it in to Board Secretary Stephanie Johnson or the public may submit written comments by email to MVAboardsecretary@mtviewacademy.org. Clearly label the subject line as: “Public Comment: Board meeting”. The deadline to receive public comment is noon on the day of the board meeting. The Board requests complaints or charges against an employee be held in Executive Session. Individuals who require disability-related accommodations, modifications, or a virtual option to participate in the Board meeting should provide written notice to the Director 24 hours prior to the meeting. |

1.0 OPENING OF PUBLIC SESSION –

1.3 Approval of Agenda: Add agenda item that was submitted to the Board this morning: 3.2 Activity Fee Refund Request. Agenda is approved with these changes.
1.4 Approval of Minutes: September minutes are approved as written.
1.5 Schedule Next Meeting: Tuesday, Nov. 28th @ 6pm
1.6 Budget: Board has received and reviewed their budget packets.
1.7 Financial Report: Financial packets are received and reviewed.
2.0 PUBLIC COMMENT – Opportunity for Citizens to address items not on the agenda. Persons wishing to address the Board on any school related issue not listed elsewhere on the agenda are invited to do so now. Audience time is not intended as a forum for public debate. Questions raised may require further investigation. Normally, the board will wait until its next meeting before responding to concerns raised.
3.0 ACTION DISCUSSION
3.1 Modular bathroom update – Jessica & Laurie are continuing to work with the Lowell School District. We are waiting on information from the city and a response to our inquiries from the modular company. We will revisit this discussion monthly.
3.2 Review Activity Fee Refund Request – A letter was received from a parent requesting a refund of their child’s activity fee for the 2023-2024 school year. Only partial activity fee ($125) had been received by September 2023. Our student policy states that activity fees must be paid in full before the start of the school year. Refunds can be granted for up to 50% but must be presented to and voted on by the school board. The funds were paid at 50% and they were applied to the student’s school supplies and field trips.
Motion to reply with a denial letter of the activity fee refund request for the 2023-2024 school year.

4.0 INFORMATION AND STUDY
4.1 Board Chair Report – Nothing to report
4.2 Administrator’s Report – Stress, Anxiety, and Depression course for parents was a success. MVA plans to invite Sara back in January or February to teach the same course. The community Christmas Play is returning this year. “December Around the World” Date is TBA. Parent Teacher Conferences are scheduled for Nov. 6-8. Outdoor School will be held at Drift Creek Falls Camp near Lincoln City on May 20-22. Coastal Eco Systems is the theme for Outdoor School. Boy/Girl hygiene talk will begin next week. Grant reporting is underway as well as searching for new grants. There is a PreK parent working on grants and donations to get the PreK fully funded. We will be able to give them automatic entry into kindergarten if the program can be fully funded by January 1st. Entry at high school games are possible with a student body card. We brainstormed some ideas for the staff’s Thanksgiving holiday break.
4.3 Board Comments – Nicco and Amber were able to shadow Jessica. They had multiple questions and saw how the staff works together. They were impressed with how well everyone communicated and executed their rolls.

5.0 WORKSHOP
5.1 Strategic Planning Workshop – Beau led the MVA Board through the Strategic Planning process. After reviewing our Mission and Vision statements, we brainstormed strategic directions and created goals for this 2023-2024 school year. The board will hold another strategic planning workshop next month.
